Client portal

Let clients into the work, not your whole workspace.

Invite a client to their project and they can follow progress, comment where the work is and approve files, free. They see their project and the people on it, and client teams keep each client's people to themselves.

Clients join free

Clients never take a seat

A client joins as a single-project guest, and single-project guests are never billed, on either plan. Invite as many as you need.

  • Paste up to 20 email addresses at a time, and see who is new before anything is sent
  • Each way of inviting someone says whether it's free or a paid seat
  • Someone you add to a second project becomes a multi-project guest and counts as a user, and your administrators are told
  • An invitation lasts 7 days, with one reminder after 3, and can be sent again or cancelled

The invite dialog on a job: tom@northwind.co typed into Email addresses, a line saying someone new joins as a free guest who sees that project only, a preview marking Tom as new with an invitation to send and no change to the paid seats, and a Send invitation button.

What they see

Their project, and the people on it

A guest sees only the projects they're invited to, and only the people on those projects. Inside their project they see every job, with its comments and files, on the same board, table and calendar your team uses.

One project each

Give each client their own project and one client never sees another client's work or people.

Client teams for shared projects

When clients share a project, put each in a client team. Guests in a client team only see their own team and your staff.

The whole thread, in the open

Anyone who can see a job can read its whole thread, so keep internal discussion in a project the client isn't part of.

Your notes stay yours

The Notes tab on a job is visible only to the person who wrote it, so a supplier's quote stays private.

Nothing to install

Everything works in the browser, on a computer or a phone. Clients sign in with Google or an email address and password.

Skybase, not white-labelled

Your workspace has its own name and address, such as yourteam.skybase.it, and invitations come from Skybase.

Client teams and join links

Bring in the whole client, kept to themselves

An administrator makes a client team for each client in Account settings, under Client teams. Add a team to a project and all its guests join it, now and as the team grows.

  • Guests in a client team only see their own team and your staff; anyone else shows as a guest from another team
  • A project's join link lets anyone with the link ask to join as a guest, and you can limit it to your client's email addresses
  • They confirm their email, then an administrator approves them, so nobody gets in on the link alone
  • A join link only ever brings in free single-project guests, and can put them straight into a client team
  • A link can work for 7, 30 or 90 days or with no end date, with a limit on uses if you like

A project's join link: anyone with an @northwind.co address can ask to join Northwind Rebrand as a guest in the Northwind client team, and an administrator approves them. Below it, the workspace's client teams, Atlas and Northwind, whose guests only see their own team and your staff.

What clients can do

Comment, upload, approve and raise jobs

  • Comment, @mention people and react
  • Upload files, and approve or reject files posted for approval
  • Raise new jobs in their project
  • Change the jobs they raised, are assigned to or were added to

Guests can't invite anyone, create projects, open project settings or see automations.

Invite them from anywhere

From a job, a project or the workspace

  • From a job: choose Collaborators, then Invite someone new, and they join the project already on that job
  • From a project: an administrator chooses Invite New in the project's Members settings, then A guest in this project
  • From the workspace: an administrator uses Invite People on the People page

The client gets an email with a link. They can choose Accept with Google, or add a name and password, and Skybase opens their project.

FAQ

What people ask about the client portal

How Skybase keeps workspaces apart is under security on the features page, and the invite guide walks through inviting people. Clients sign off files with approvals.

Do clients have to pay?
No, not as single-project guests. They're never billed on either plan, however many you invite. A client you add to a second project becomes a multi-project guest and counts as a user, and your administrators are told.
Can one client see another client?
Not if each client has their own project: guests see only the projects they're invited to and the people on them. If two clients share a project, put each in a client team. Guests in a client team only see their own team and your staff, and anyone else shows as a guest from another team.
Can we keep some conversations from the client?
Not inside their project. Anyone who can see a job can read its whole thread, so keep internal discussion in a project the client isn't part of. For things only you should see, like a supplier's quote, use the job's Notes tab.
Can a client's colleagues join without us inviting each one?
Yes, with a join link. An administrator makes one in the project's Members settings, optionally limited to the client's email addresses and put into their client team. People ask to join, confirm their email, and an administrator approves them. A join link only ever brings in free single-project guests.
Can we put our own branding on it?
No. Skybase isn't white-labelled. Your workspace has its own address, such as yourteam.skybase.it, and its own name, and invitations say who invited them and to which project, but the portal is Skybase.
Does the client need to install anything?
No. Everything works in the browser, on a computer or a phone. They can sign in with Google or with an email address and password.
What can a client change?
The jobs they raised, are assigned to or were added to as a collaborator: the status, due date, tasks and description. Anywhere else in their project they can comment, upload and approve files, and raise new jobs.
