Overview

The headline numbers, and what's at risk

The Overview tab starts with Jobs created, Jobs completed, Overdue jobs and Active jobs for the range you pick, from Last 7 days to a Custom range of up to a year.

  • Throughput: jobs completed per day, or per week for longer ranges
  • Created and completed over time, with Compare to previous to set the range against the one before
  • Breakdown by status, priority, job type, column or project
  • At risk: open jobs that are overdue, due today or due this week
  • Overdue jobs by person, and a Task mix of the tasks opened in the range: completed, open on time or overdue

How long work takes, and who's carrying it

Lead time is how long a job takes from the moment it's created to the moment it's completed. Skybase shows it three ways, because a few slow jobs can pull an average a long way.

Flow

Median lead time for a typical job, Mean lead time, and the 85th percentile, the time most jobs finish within. A chart sorts completed jobs from under a day to over four weeks. Pick one project to add Time in column and Cumulative flow.

People

Jobs assigned per week, Open work by person and Task workload by person, so an overloaded designer shows up before a deadline slips.

Projects

Every project side by side: created, completed, active, overdue, completion rate and trend.

Select a headline number, or a bar or a point in most of the charts, and the jobs behind it open in a panel at the side, ready to open. The Over 4 weeks bar of the lead time chart becomes a list of the slowest jobs.

Export it, print it, or have it emailed

Export CSV downloads the jobs in the range with your filters applied, and Print gives you a paper copy. Save the setup under Saved reports, then Schedule… it to go out Every week or Every month.

Saved reports

Save current view… keeps the range and filters. Anyone can save a report for themselves; only administrators can share one with the whole workspace.

Emailed on a schedule

The headline numbers against the period before, overdue work by person and the jobs at risk, sent to active people in the workspace. Administrators can schedule any report, and team members their own.

Each copy fits its reader

Every person's emailed copy counts only the projects both they and the report's owner can see.

Numbers for everyone, scoped to their projects

Everyone in the workspace can open Reports. Administrators see every project; everyone else sees the projects they belong to. In a workspace with client teams, Reports has a Client teams filter, and a guest sees other teams' guests as A guest from another team, in the People tab, the CSV and the emailed copies.

What people ask about Reports

The Reports guide walks through every tab. Automations such as Done means completed keep the numbers honest.

What does lead time measure?
The time from when a job is created to when it's completed, for jobs completed in the range. Skybase shows the median, the mean and the 85th percentile, because a few slow jobs can pull an average a long way.
Who can see Reports?
Everyone in the workspace, guests included. Administrators see every project; everyone else sees the projects they belong to. In a workspace with client teams, a guest sees other teams' guests as "A guest from another team".
When does a job count as completed?
When someone chooses Mark complete, or sets a status that completes the job. Moving a job to the last column doesn't complete it on its own, though an automation can.
What goes into the scheduled email?
The report's job counts against the period before, overdue work by person and the jobs at risk, with a link to the full report. A weekly email covers the seven days before it's sent, and a monthly one the previous calendar month. Each person's copy counts only the projects both they and the report's owner can see.
Can I get the data out?
Yes. Export CSV gives you the jobs created in the range with your filters applied: project, job, status, assignee, the created, due and completed dates, and whether each is overdue. Print gives you a paper copy of the page.
Why does it say Showing sample data?
A workspace that started with sample content shows the sample projects in Reports until your first real job, so the charts have something in them. The note goes once your own work arrives.
