Members or guests?
- Administrator
- Sees every project and runs the workspace: people, billing, project settings and automations. Counts as a user.
- Team member
- Works in the projects they belong to, creates projects, and changes columns and statuses. Counts as a user.
- Single project guest
- A client or freelancer on one project. They can comment, upload and approve files, and change the jobs they raised, are assigned to or were added to. Never billed.
- Multi project guest
- The same limits as a single project guest, across more than one project. Counts as a user.
The Free plan covers up to 5 users. On Pro each user is $3.99 a month. Single project guests are free on both plans, however many you invite.
Invite people to the workspace
-
Step 1: Open Account settings from your avatar or the foot of the sidebar, then People.
-
Step 2: Choose Invite People and enter up to 20 Email addresses, one per line or separated by commas.
-
Step 3: Under Invite them as, choose Team member, Multi project guest or Single project guest.
-
Step 4: Tick the projects they should join. A single project guest needs exactly one; for everyone else it is optional.
-
Step 5: Choose Send invitation. Each person gets an email with a link to join.
Only administrators can invite people to the workspace.
Tip: To make someone an administrator, invite them as a team member, then choose the pencil beside their name on the People page and change their Role.
Add someone to a project
Open the project's Project settings (the cog at the top of the board) and go to Members. Add Existing adds someone already in the workspace. Invite New emails someone who is not yet: choose whether they join as A guest in this project, which is free, or as A team member.
Only administrators can change a project's members.
Bring a client onto one job
-
Step 1: Open the job and choose Collaborators along the top.
-
Step 2: Choose Invite someone new and enter their email address, plus a name and a personal message if you like.
-
Step 3: Choose Send Invitation. They join the project as a single project guest, already added to the job.
Administrators and team members who can work on the job can do this. Guests cannot invite anyone.
What the person you invite sees
The invitation email links to a page on your workspace's address. They can choose Accept with Google where it is offered, or add their name and a password and join. Skybase signs them in and opens their project, or their Inbox if nobody has added them to one yet.
Change a role or remove someone
On the People page, choose the pencil beside someone to change their Role, or Remove user to take away their access. Only administrators can do either. To remove an administrator, change their role first.
A single project guest who is added to a second project becomes a multi project guest automatically, and administrators are told, because that person now counts as a user.
