How it works

Three steps to running every partner from one workspace

    Give each partner a project

    One project per agency, freelancer or supplier, with columns named the way you work. Partners only see the projects you invite them to, so the agency never sees the printer's jobs.

    Invite their people free

    Each person joins as a single-project guest: free on every plan, able to comment, upload and approve files, and able to change only the jobs they raised, are assigned to or were added to.

    Sign off on your side

    Partners post files for approval on the job. Your team approves, or rejects with a note, and the partner uploads a new version in its place. Who decided, and when, stays on the job.

Partners never see each other's work

Partners who join as guests see only the projects they're invited to, and only the people on those projects. Keep internal discussion in an internal project.

Partners join free

Single-project guests are never billed, on any plan. Someone you add to a second project becomes a multi-project guest and counts as a user.

Sign-off with a name on it

Approve, or reject with a note saying what needs to change. Every decision stays on the job with who made it and when.

One version to look at

A rejected file comes back as a new version, and the old one is marked as replaced. Download all leaves out anything pending or rejected.

Every partner's deadlines in one report

Reports puts every project side by side, and its At risk list shows what's overdue, due today or due this week, by person and by project.

Export a report or any table as CSV, print a report, or have it emailed to people in your workspace every week or month.

Each partner sees its own project
A single-project guest can open the project they were invited to, and sees only the people on it: no other project, and no other partner's people.
Your data has its own database
Every workspace runs on its own subdomain with its own database, and file links are signed and expire after 8 hours.
Partners are never billed
Single-project guests don't count towards your user limit on either plan.

Do our agencies and freelancers need paid seats?
Not while each person works in one project. Single-project guests are free on every plan. If you add someone to a second project, they become a multi-project guest and count as a user: towards the Free plan's 5 users, or at $3.99 per user per month on Pro.
Can one partner see another partner's work?
Not if each partner has its own project and joins as a guest. Guests only see the projects they're invited to, and only the people on those projects, so your agency doesn't see your printer's people. Anyone from your team who is on a partner's project is visible to that partner. Inside a project, anyone who can see a job can read its whole thread, so keep internal discussion in an internal project your partners aren't part of. Your own team members see only the projects they belong to, and administrators see every project.
What can a partner change?
Guests can comment, upload files, approve or reject files and raise new jobs in their project. They can change only the jobs they raised, are assigned to or were added to. They can't invite anyone, create projects, see automations or open project settings.
Who can sign off a file?
Anyone on the project except the person who uploaded it can approve or reject it, and a rejection needs a note. That includes the partner's own colleagues, so if sign-off has to come from your side, agree that at the start. Every decision shows who made it and when, so you can check.
How do we see progress across every partner?
Open Reports. Administrators see every project. The Projects tab puts them side by side: jobs created, completed, active and overdue, the completion rate and the trend. At risk lists the open jobs that are overdue, due today or due this week. Select any number to list the jobs behind it, and Export CSV downloads the jobs with their status, assignee and dates.
Is our data kept separate from other companies'?
Yes. Every workspace runs on its own subdomain with its own database. Files are stored privately, and every download link is signed and expires after 8 hours. People can sign in with Google or with an email and password.
