How a workspace fits together
Your workspace has its own address, like yourteam.skybase.it, and its own database. Inside it are projects. Each project has a board of columns, and each card on the board is a job.
A job holds the brief, the comments, the files and a checklist of tasks. Each task can have its own assignee and due date, so one job can be shared out without being split up.
Try things on the sample project
A workspace that starts with sample content opens on a project marked This is a sample project. The work and the people in it are made up, so try anything: nobody is notified or emailed, and sample people never count as seats.
When you are done with it, an administrator can choose Remove sample data on that banner, or in Account settings under Sample data. Your own projects and jobs stay as they are.
Create your first project
-
Step 1: In the sidebar, choose the + beside Projects, or open All projects and choose New Project.
-
Step 2: Name the project (up to 24 characters) and choose Create Project.
-
Step 3: The board opens with four columns: Backlog, Active, QA and Completed. Use a column's menu to Rename it, and Add column at the end of the board to add another.
Administrators and team members can create projects. Guests cannot.
Tip: Moving from Trello? An administrator can choose Import from Trello on the Projects page and upload a board exported as JSON. Lists become columns, cards become jobs, and checklists come with them.
Add a job
-
Step 1: Choose Add Job under a column, or press n anywhere on the board.
-
Step 2: Give the job a title and a priority: Critical, Important, Normal or Low.
-
Step 3: Choose Continue to add a description, an assignee and collaborators, tasks and a due date, or Create now to add them later.
When all you have is a title, choose Quick under the column instead.
Work on a job
- Along the top
- Set the Assignee, Collaborators, Status, Priority and Due date. Collaborators follow the job without owning it.
- Tasks
- The Tasks tab is the job's checklist. Choose Add to add a task, or Add First Task on an empty list.
- Comments
- Talk on the job rather than around it. Type @ to mention someone, and filter the panel to Comments or Activity.
- Files and approvals
- Attach files to a comment with the paperclip. Tick Request approval for this file and anyone on the project other than you can Approve or Reject it from the Files tab.
- Notes
- The Notes tab is yours alone. Nobody else on the job can see it.
Keep up with your Inbox
Anything that needs you lands in the Inbox: @mentions, jobs assigned to you, files waiting on your approval and more. Narrow it with Unread, Mentions, Assigned to me, Due soon and Approvals, and work through it from the keyboard: j and k to move, e to archive, s to snooze and u to mark as read or unread.
Email follows the same events. To choose what reaches you and when, open Profile settings from your avatar and go to Notifications. You can switch email off, keep only the kinds you care about, or move from instant email to an hourly, daily or weekly digest.
Move faster with the keyboard
- ⌘ K
- Opens the command palette (Ctrl K on Windows and Linux): search every job you can see, jump to a project or run an action.
- ?
- Lists every shortcut.
- g then i
- Goes to the Inbox.
- g then p
- Goes to Projects.
- g then r
- Goes to Reports.
- n
- Starts a new job on a board.
- [
- Collapses or expands the sidebar.
- Esc
- Closes dialogs and menus.
