Get work approved

How to ask for sign-off on a job, how your client reviews and decides from the email, and how comments, new versions and reminders keep each round on the record.

Ask for approval

  1. Step 1: On the job, open the Files tab, select the files and choose Ask for approval. You can also ask as you post files in a comment.

  2. Step 2: Name the Approvers: anyone on the project, staff or client guests, except you.

  3. Step 3: Choose Everyone must approve or Any one approver, and add a Due date and a Brief if you like: what to look at, and what happens next.

Each approver is told straight away, in the app and by email unless they've turned that email off. Reminders follow the day before the due date, on the day, and one and three days after it's overdue, at 9am in each person's own time zone.

Review and decide

Open the request from the email, or from the Inbox under Approvals and Waiting on me. Look through the files, then choose Approve, Approve with changes or Request changes.

Approve with changes and Request changes both need a note saying what to change. Each approver decides once per version, and the request shows who decided, when and how.

Comment on the spot

Choose Comment, then click or tap the spot on an image or a PDF page to pin a comment there. Replies stay in a thread on the pin. When it's done, choose Resolve; Show resolved brings resolved comments back.

Your team can tick Internal to keep a comment between staff. Clients never see internal comments: not in the app, an email or a link.

Upload a new version

When changes are asked for, choose New version, add the new files and say what changed. Everyone is asked again. Earlier versions and their decisions stay on the record.

Keep track

Your Inbox
Under Approvals: Waiting on me, Waiting on others and Recently decided.
The board
Cards show what's awaiting approval and when it's due, in red once it's overdue. Filter the board to Awaiting my approval.
A nudge
On a request you asked for, Nudge reminds the people still to decide, once a day at most.

Let automations follow up

A project's automations can start when an approval request is approved, when changes are requested on an approval request, or when the team check passes on an approval request, optionally only for requests whose title contains some words. Move the job on, assign it or tell people, as with any rule.
